If they already use sholo they're added straight away. If not, they'll join this workspace automatically the first time they sign up with that address.

Leave this blank and everyone in the workspace sees HQ. Set it and HQ is shown only to people whose email is at your company — useful if you add long-running contractors to the workspace so they can see every project.

This changes what people see, not what they can open. Being in the workspace is still what grants access to your projects.

Dates

Load-in to load-out — the days the crew is on site. This is what a deadline counts back from and what says whether somebody is free that week. A show with no dates still works; it just can't answer those questions.

Time zone

The venue's local time. Every time on the schedule is read in this zone, and it's what lets sholo send a reminder 30 minutes before something starts even when nobody has the app open.

Show color

Overrides the company color while you're in this show. Handy when you're running several shows for the same client — the app changes color so you can tell at a glance which one you're in.

Shown next to the show's name in the workspace picker and up top once you're in it.

Anyone set to Read only on this show's team sees just these tabs, and can't change anything in them. Everyone else is unaffected.

A tab switched off for the whole show stays off here too — this can only narrow what they see, never widen it.

Choose what to print. Each sheet is built for the page rather than photographed off the screen, so it comes out whole.

Upload the floor plan — a PDF, or a JPG or PNG of a printed sheet. Each PDF page becomes its own sheet; an image becomes one. Where a PDF still carries its text, location labels are matched against your gear list to place pins automatically. You'll review everything before it saves.

The whole event's schedule — load-in, sessions, meals, load-out. The crew filter it and set their own reminders; only you change what's on it. Imports add to what's there rather than replacing it, so a rotation schedule and a production schedule can both live here.

From a web page

If the schedule is published on a page, paste the link and sholo will read it. Keep the link and you can re-sync when the venue revises it — the entries from that page are replaced, and anything else on the schedule is left alone.

Departments

One column per department, in the order they appear here. Every show starts with Audio, Video and Lighting — rename them, recolor them, add your own, or switch one off for everyone. Importing a cue sheet adds whatever columns it carries.

Who can edit the run of show

A run of show is read across: one row is one moment, and every department reads its own column. That's why the open setting is per column — a board op correcting a lighting cue is fixing the thing they're about to execute, not rewriting the show. Adding, retitling, retiming and deleting cues stays with admins and callers whatever this says.

Import a cue sheet

Only if you already have one. A run of show is meant to be built here — this is for moving one across. Excel, Google Sheets (export as CSV) or CSV — or photograph the paper one, a page at a time. Either way you'll see what it read before anything saves. Importing REPLACES the run of show, so anything built here goes with it.

For the rare show where the caller would rather work in their own spreadsheet. Set the sheet to Anyone with the link can view and paste the ordinary link here — no publishing step. sholo reads the whole book, so you pick which tabs to mirror and each becomes its own run of show, named after the tab and tracking that tab. It re-reads them every couple of minutes while somebody has the Run of Show tab open, and nobody can edit them in sholo while they're linked — an edit here would be wiped by the next read. Unlink to take one back; its cues stay.

A link you've already published to the web (/pubhtml) still works, but it can only offer the tabs that were published.
